Description

We are seeking proposals from qualified catering service providers who can provide a diverse menu to accommodate various dietary preferences and restrictions for our 2 staff canteens.  Vendors with their premises located in or near Tatu City are encouraged to apply.

Canteen Locations

There will be 2 staff canteens that will be in Tatu City Engineering Centre of Excellence and the Tatu Distribution Centre, all within Tatu City.

Our staff numbers are estimated at 60 people for the Engineering Centre of Excellence and 80 people at the Tatu Distribution Centre. Should you be awarded, the contract is expected to begin in February 2026.

Proposal submission guidelines

We kindly request that you submit your proposal including but not limited to the following elements

1.        Certificate of Incorporation

2.        Business Permit

3.        Food Permits and Licenses: Please provide supporting documentation such as food handling permits/health licenses/catering permits etc. 

4.        Company Profile: Background information and experience with similar events 

5.        Staffing and Logistics: Proposed staffing levels and their qualifications and equipment or supplies you will provide and any requirements on our end.

6.        References: At least three corporate references from previous clients.

7.        Menu Suggestions: A variety of meal options, including vegetarian and vegan choices. Note the Sample Menu Options is attached.  You can upload your own additional menu suggestions.

8.        Pricing: Input your quote in the Total Pricing for Catering Services and upload your financial breakdown (PDF) in the Catering and Financial Breakdown section. 

9.        Give pricing guided by your menu options and other applicable charges 

 

Other areas to be captured in your proposal include

·        Health, Safety and the Environment 

·        Agreement and Terms

·        Payment Terms (preferably; 30days after statement date)

·        Contract Duration (preferably; 1 year with possible extension)

·        Contact Information

·        Any other relevant information

Logistics: Please note there will be no cooking equipment on both premises. You are expected to only provide catering services, equipment and any supplies required to provide the services.

 

Proposal Submission Terms and Conditions

·        Digital submission of tender documents is MANDATORY.

·        All tenders must be submitted on or before January 12th, 2026, by 11.30 PM

·        The organization reserves the right to accept or reject any tender.

·        Late tenders will NOT be accepted.

·        The successful bidder will be notified in writing and will be required to sign a contract.

 

Each tender submission via Scale attracts a processing fee of KShs 1,000/= and all payments are to be made on the platform before your bid is submitted
