Request For Proposal For Supply Of Sanitary Bins & Air Fresheners

Davis and Shirtliff is inviting qualified suppliers to submit tenders for the supply of sanitary bins to be installed across our facilities in Kenya. This tender aims to select a reliable partner who can provide quality sanitary bins that meet our hygiene and environmental standards. If awarded, the contract is expected to commence in January 2026.

Proposal Submission Guidelines 

We kindly request that you submit your proposal, including but not limited to the following elements: 

1.     Certificate of Incorporation

2.     KRA PIN

3.     Business Permit

4.     Company Profile

5.     Evidence of compliance with relevant health and safety standards (e.g., NEMA License)

6.     References: At least three corporate references from previous clients

7.     Financial Proposal: as per the pricing request described below. 

Scope of Work

The successful supplier will be responsible for:

·        Supplying high-quality sanitary bins suitable for private restrooms.

·        Providing bins equipped with secure lids and odor control features.

·        Ensuring timely delivery to designated locations within our facilities.

·        Conducting weekly bin changes.

·        Providing maintenance and waste collection services

·        Design: Modern, discreet, and suitable for various restroom environments

·        Supply of automatic air fresheners for select locations to be advised later

Pricing

·       We have 37 locations across Kenya. 49 bins and 21 air fresheners (more details provided in the document attached).

·       Submit your quote per unit change, with an average of one change per week or four changes per month for the bins for the ladies’ washrooms only.

·       Submit your quote per unit change, with an average of one change per month for the air fresheners that may be used for both ladies and gents as per the table attached.

·       Include any other relevant details

·       The contract will be renewed annually, subject to reviews and evaluations.

·       Payment terms are 30 days after the statement date.

Proposal Submission Terms and Conditions

·        Digital submission of tender documents is MANDATORY.

·        All tenders must be submitted on or before December 6th, 2025, by 11.30 PM

·        The organization reserves the right to accept or reject any tender.

·        Late tenders will NOT be accepted.

·        The successful bidder will be notified in writing and will be required to sign a contract.

Each tender submission via Scale attracts a processing fee of KShs 1,000/= and all payments are to be made on the platform before your bid is submitted
